Legal Professional Corporation One Asia (Bengoshi Hojin One Asia) and OAL International Pte Ltd (“OAL” or “we“) comply with the Personal Information Protection Act (Act No. 57 of May 30, 2003, “the Personal Information Protection Act“) and other relevant laws and regulations, and handle personal information in accordance with this Privacy Policy. In this Privacy Policy, “Personal Information” refers to information related to a living individual that can be used to identify the specific individual through data such as name, date of birth, and other descriptive details.

In addition to this Privacy Policy, which applies to all clients, depending on the region in which our clients reside or are located, the attached Global Whistleblowing Privacy Policy may also apply. Please refer to the attachment for more information. In the event of any inconsistency between this Privacy Policy and the attachment, the terms of the attachment shall prevail.

1. Categories of Personal Information Collected

OAL may collect the following categories of Personal Information in connection with the implementation, establishment, operation, and other activities related to the internal whistleblowing system. The internal whistleblowing system that OAL introduces, establishes, and operates is hereinafter referred to as “GWS“.

  ① Personal Identification Information:
Information such as name, date of birth, gender, telephone number, email address, occupation (including affiliated company, department, position, etc.), address, postal code, and other contact information.

  ② Information Related to Browsing History on Our Website:
Online identifiers such as Cookie IDs, information regarding the device used, location data, browsing history, and other service usage data (including access logs, IP addresses, browser information, and browser language settings, etc.).

  ③ Other Information:
Information that the individual inputs, submits, or communicates to OAL when making a report, inquiry, or contact with OAL.

2. Purpose of Use of Personal Information

OAL collects and uses Personal information within the scope of the following purposes:

① Introduction, establishment, and operation of GWS.
②Provision of information and communication regarding GWS services.
③Promotion activities related to GWS services.
④Hearing from the whistleblower or the individual being reported.
⑤Investigation of whistleblowing content.
⑥Conducting meetings with clients and other related activities.
⑦Operations related to items ① through ⑥
⑧Provision of Personal Information to third parties as specified in this Privacy Policy.
⑨Use in accordance with the purposes defined for other projects OAL may undertake outside of GWS.
⑩Responding to inquiries and handling requests related to future projects OAL may undertake, as well as using Personal Information for the provision of such services.

3. Provision of Personal Information to Third Parties

(1) OAL will not provide Personal Information that it handles to third parties without obtaining prior consent from the client, except as required by law.

(2) OAL may provide clients’ Personal Information to third parties located in the following foreign countries. The relevant country-specific information that should be referred to in such cases is currently as follows:

The recipients generally implement measures regarding the handling of Personal Information that are at a level comparable to those required of Personal Information handling business operators in Japan.

(3) When providing Personal Information to third parties in foreign countries that take measures equivalent to those required of business operators handling Personal Information under the Personal Data Protection Act, OAL takes the necessary measures to ensure the continued implementation of such measures. 4. Joint Use of Personal Information

OAL may jointly use Personal Information as outlined below:

5. Use of Statistically Processed Data

OAL may create statistical data by processing Personal Information received in a way that does not allow the identification of individuals. OAL may use such statistical data without any restrictions.

6. Accuracy of Personal Information

OAL makes efforts to process Personal Information provided accurately. However, it is the responsibility of the individual to ensure that Personal Information provided is accurate and up to date.

7. Management of Personal Information

OAL will take necessary and appropriate measures to prevent leakage, loss, or damage of Personal Information, as well as to ensure the safe management of Personal Information. 8. Collection and Use of Behavioral History

OAL may collect behavioral data of clients, such as browsing history on the website (URLs accessed, content viewed, reference order, etc.), for the purposes of improving client convenience, obtaining statistical data, and delivering targeted advertisements to clients.

9. Procedure for Disclosure of Personal Information

(1) Upon receiving requests from individuals regarding their Personal Information, OAL will respond in accordance with the procedures specified in (2) below and in compliance with the Personal Information Protection Act. Requests may include:

① Notification of the purpose of use or disclosure of Personal Information or third-party provision records.
② Correction and deletion of Personal Information.
③ Suspension of use, deletion, and cessation of third-party provision of Personal Information.

(2) To request disclosure, correction, deletion, or suspension of Personal Information, the individual must complete the prescribed application form and send it along with identification documents to the designated address. For requests related to the notification of the purpose of use and disclosure of Personal Information or third-party provision records, a fee of 1,000 yen will be charged for each request. Payment should be made to the bank account indicated on the application form. A fee will also be charged for non-disclosure and non-notification of the purpose of use.

10. Handling of Complaints

OAL will accept complaints and inquiries from individuals regarding the handling of Personal Information and will respond appropriately and promptly. OAL will also handle requests for disclosure, correction, addition, deletion, or refusal of the use or provision of Personal Information in an appropriate and timely manner.

12. Changes to this Privacy Policy

OAL reserves the right to modify this Privacy Policy as necessary, except where prohibited by law. Any changes to this Privacy Policy will be communicated to clients or published on our website in the manner prescribed by OAL.
